Oral presentation

Overview

When preparing your presentation for the ECDMFR 2024 in Freiburg, the goal is to convey your scientific findings effectively within a 9-minute timeframe, followed by a 2-minute Q&A session. The presentation must be designed in Full HD (1920×1080 pixels) format and utilize a 16:9 landscape aspect ratio in PowerPoint (.pptx).

Steps to Prepare Your PowerPoint Presentation

Designing Your Slides

  • File format: PowerPoint (.pptx)
  • Aspect Ratio: Set up your PowerPoint slide size to 16:9. This can be done by going to Design > Slide Size > Widescreen (16:9).
  • Font and size: Use a clear, legible font. Minimum font size should be 25 pt for text and 32 pt for headings to ensure readability from a distance.
  • Color scheme: Choose a high-contrast color scheme (e.g., dark text on a light background) to enhance visibility and legibility.
  • Visuals: Incorporate high-quality images, graphs, and charts to support your data. Make sure all visuals are clear and large enough to be understood from the back of the room.
  • Animations: Keep the number of animations to a minimum.

Content Structure

  • Title slide: Include the title of your presentation, your name, and the affiliation
  • Introduction: Briefly introduce the topic, state the purpose of your research, and outline the main objectives.
  • Methods: Provide a concise description of your methodology. Use diagrams or flowcharts if they help clarify complex processes.
  • Results: Present key findings with the help of graphs, charts, and tables. Highlight important data points and trends.
  • Conclusion: Summarize the main findings and their implications. Make sure this slide emphasizes the significance and impact of your research.
  • Acknowledgments: Credit any collaborators, institutions, or funding bodies.
  • Q&A slide: Prepare a final slide inviting questions, displaying your contact information or any further references.

Timing and Flow

  • Practice runs: Conduct several timed practice sessions to ensure your content fits within the 9-minute limit. Adjust as necessary to avoid rushing through slides.
  • Transitions: Use simple transitions to maintain a professional appearance. Avoid overusing animations that can distract from the content.

Technical Setup and File preparation

  • File format: Save your presentation in PowerPoint format (.pptx) and as a PDF as a backup.
  • Backup copies: Bring multiple copies on different USB drives and have an online backup accessible.
  • Check compatibility: Ensure that your presentation is compatible with Windows, as this is the most used OS in conference settings.
  • Hand over: Please take your file as soon as possible to the Media room at the congress to check and upload your presentation

Presentation Tips

  • Speak clearly: Project your voice and pace your speech to match the content on the slides.
  • Engage with Audience: Make eye contact and use gestures to emphasize points. This makes the presentation more engaging.
  • Prepare for Q&A: Anticipate potential questions and prepare concise responses. Familiarize yourself with your slides enough to quickly refer to relevant data during the Q&A session.
  • Slide Numbering: Include slide numbers for easy reference during the Q&A.
